Overview
The Contracts Administrator – CSA will support the commercial and contractual administration of Civil, Structural and Architectural (CSA) works across live projects. The role will assist in managing contractual documentation, variations, payment processes, quantity tracking, and contractor coordination to ensure effective project commercial administration and compliance.
The successful candidate will work closely with commercial, project delivery, and site teams to support the day-to-day administration of CSA work packages and maintain accurate project records throughout delivery.

Responsibilities
1. Contract Administration
Support the administration of CSA contracts and subcontract packages from award through to final account.Maintain accurate records of instructions, notices, correspondence, contract documents, and commercial submissions.Ensure contractual documentation is properly controlled and filed.Assist in monitoring contractor compliance with contractual obligations.
Variations & Change Control
Assist with the administration and tracking of CSA variations and change events.Maintain variation registers and associated supporting records.Coordinate receipt and review of quotations and supporting documentation from contractors.Support the commercial assessment and tracking of instructed changes.
Payment Applications & Quantity Tracking
Assist with monthly payment application and valuation processes for CSA works.Support verification of progress, quantities, and completed works on site.Maintain records relating to measured quantities, valuations, and commercial status.Support cost reporting and final account administration activities.
Contractor Coordination
Liaise with CSA contractors, consultants, and project teams regarding commercial documentation and contractual matters.Attend project and commercial meetings where required.Assist with resolving day-to-day contractual and commercial administration issues.
Commercial Reporting & Record Keeping
Maintain commercial logs, trackers, registers, and reporting documentation.Support preparation of commercial reports, variation summaries, and payment status updates.Ensure records are complete, organised, and audit-ready.
Risk & Commercial Support
Assist with identifying commercial risks and maintaining supporting records.Support claims avoidance through accurate administration and proactive document control.Ensure contemporaneous records are maintained to support contractual entitlement where required.
Qualifications
2. Experience in construction contract administration, preferably within pharma or regulated manufacturing environments
3. Knowledge of local contract law, EU commercial regulations, and pharma industry contracting standards
4. Familiarity with construction contracts including FIDIC, NEC, or similar standard forms
5. Understanding of pharma construction requirements including GMP compliance and regulatory documentation
6. Ability to manage commercial relationships and support contractual dispute resolution
7. Bachelor's degree or Diploma in Construction Management, Business Administration, Law, or related field
8. Proficiency in English + Dutch and/or French advantageous
