Position Summary
The Customs & Logistics Coordinator serves as a crucial bridge between the warehouse, customers, customs brokers, and logistics partners.
Key activities include:
* Preparing, reviewing, and organizing customs documentation
* Coordinating communication with customs brokers, customs authorities, freight forwarders, and clients
* Tracking import, export, and local delivery status
* Supporting management by providing updates on cargo flow and any exceptions
This position combines administration, coordination, and compliance, making it ideal for candidates who are detail-oriented, responsible, and strong communicators.
Key Responsibilities
1) Customs Responsibilities
* Collect and organize documentation required for customs declarations (invoices, packing lists, contracts, authorization files, etc.)
* Coordinate with customs brokers, freight forwarders, and clients to ensure all documents are complete, accurate, and submitted on time
* Monitor customs declaration and clearance progress, providing timely updates and identifying risks or delays
* Assist in verifying basic customs declaration elements (e.g., product descriptions, quantities, HS codes, country of origin)
* Maintain proper electronic and physical archiving of all customs documentation to ensure traceability
* Support internal customs compliance awareness and assist with external audits or inspections
2) Logistics Coordination Responsibilities
* Coordinate pick-up, delivery, and appointment scheduling with carriers, delivery partners, and warehouse teams
* Maintain and update shipment tracking sheets (in transit, arrived, under clearance, out for delivery, delivered)
* Provide timely updates to internal teams and clients regarding shipment or delivery status
* Handle exceptions proactively (delays, damages, shortages, mismatches) and maintain proper records
* Assist with basic transport-related data management (transport cost, transit time performance, etc.)
3) Administrative & Data Support (Optional / Added Value)
* Generate regular customs and logistics status reports using Excel or other basic reporting tools
* Support the creation of internal SOPs and logistics process documents
* Coordinate with Finance to verify customs and logistics-related charges
Requirements
1) Knowledge
* Secondary school diploma or above; majors in International Trade, Logistics, Business, Accounting, or related fields preferred
* Basic understanding of international trade and logistics concepts (invoice, packing list, Incoterms, transport modes, etc.)
* Basic understanding or experience in customs declaration/clearance preferred
* Proficient in MS Office (Excel, Word, Outlook)
* Languages:
* Chinese: Required – main working language
* Dutch: Required – able to read documents and communicate in writing and verbally
* English: Preferred but not required
2) Skills
* Strong document handling and archiving skills—structured, detailed, and organized
* Excellent communication and coordination skills across customers, warehouses, brokers, and logistics providers
* High attention to detail; able to identify and correct common document issues (quantities, dates, numbers, missing files)
* Strong time management; able to manage multiple shipments simultaneously without missing deadlines
* Basic data sense: able to use Excel for sorting, filtering, and simple reporting
* Fast learner; able to quickly grasp customs, logistics systems, and internal processes
