About Visitors' Centre
The European Commission Visitors' Centre in Brussels welcomes groups from across Europe and throughout the world, including business leaders, local government officials, journalists, politicians, and students. Visitors gain first-hand insights into the Commission's work and key policies.
About the Role
We are looking for a Visit Assistant to join the Visitors' Centre team for 4 months starting in April. The team ensures a seamless and engaging visitor journey for all groups visiting the Visitors' Centre. The Visit Assistant will accompany groups during visits and proactively manage operational logistics under the guidance of the Supervisor.
Main Responsibilities
Visit Preparation:
* Contact speakers to confirm attendance and collect presentations.
* Prepare rooms and equipment, manage logistical setup, and report any malfunctions or cleanliness issues.
* Validate participant lists and ensure access badges are prepared by security service.
Welcome of the speaker:
* Welcome speakers and escort them to the meeting room.
* Assist with displaying presentations
* Stay until the presentation begins and ensure smooth technical operation.
Welcome of the visitors:
* Welcome visitors and ensure access badges are received; register unlisted participants if needed.
* Guide the group to the digital backdrop, explain the photo opportunity and data protection.
* Introduce key displays such as the Commissioners' Wall and 'EU in Time' wall.
During the visit:
* Escort and accompany visitors throughout the visit, assist as needed, and respond to questions within your area of responsibility.
* Moderate visits by introducing speakers and managing timing.
* Ensure refreshments during breaks and oversee cleanliness of break areas.
* Take into account special needs of visitors, including access and dietary requirements.
* Handle administrative tasks and ensure completion of visit evaluations and reports.
* Manage virtual and hybrid visits, including attendee lists, moderation, and technical setup.
After the visit:
* Upload the final participants list
* Encode the evaluation form in the system
About You
* Strong knowledge of the European Commission as an EU institution.
* Responsible, reliable and flexible.
* Showing appropriate discretion in various situations.
* Excellent communication and presentation skills.
* Ability to manage technologies, including booking systems and IT requirements.
* Comfortable working autonomously.
* Fluent in English and at least one other EU official language (CEFR C1), preferably French (as exchange with security guards is mainly done in French), Dutch, German, Spanish, Italian, or Polish. Additional languages such as Bulgarian, Slovenian, or other newer Member State languages are an advantage.

Remuneration in line with CP200 ranges, adjusted according to relevant experience.
