Job Overview The Central Operations Executive Assistant provides high quality, proactive administrative and organisational support within the Risk & Compliance (R&C) Central Operations function. The role primarily supports the Head of Risk Management & Economic Crime, enabling effective leadership by smooth, well‑organised, and anticipatory day‑to‑day operations. This includes advanced calendar and inbox management, complex travel coordination, expenses, meeting logistics, and preparation of high‑quality briefing materials. The Executive Assistant operates with a high degree of discretion, autonomy, and foresight, anticipating needs, resolving issues independently, and acting as a key enabler of leadership focus and efficiency. Reports to: Senior Manager, R&C Central Operations Location: Zaventem, Belgium (Global Office) or UK (remote) Key accountabilities & responsibilities 1. Executive support Proactively manage and optimise acomplex calendars, anticipating conflicts, dependencies, and priorities; prepare leaders in advance with context and options. Coordinate international and local travel: bookings, itineraries, documentation, logistics. Prepare, process, and reconcile expenses in line with internal procedures. Provide inbox management support, including triage, prioritisation, and drafting responses. Prepare meeting materials, briefing notes, and presentations, ensuring high accuracy and professional formatting. Track tasks, reminders, and follow-up to support efficient leadership workflow. 2. Ad-hoc administrative & operational support Organise enquiries in shared team mailboxes and ensure timely and accurate follow-up. Support administrative logistics for internal meetings, workshops, and events, including room bookings, catering coordination, and attendee communication. Support invoice and purchasing workflows, including raising, tracking, and reconciling purchase orders. Maintain updated contact lists, distribution lists, Teams channels, and basic intranet content. Provide broader executive support to other senior team members as needed. Desired skills & experience Proven experience as a Personal Assistant, Executive Assistant, Administrative Assistant, or similar role. Strong organisational skills with the ability to manage multiple priorities simultaneously. Excellent written and verbal communication skills; confidence interacting with senior stakeholders. High proficiency in Microsoft Office applications (Outlook, Word, PowerPoint, Excel, Teams, SharePoint). Discretion and sound judgement when handling confidential information. Service oriented, proactive, detail focused, and solution‑ driven‑. Willing to take initiative and suggest solutions to day to day issues arising. Flexible, positive attitude with the ability to work independently and collaboratively in an international environment. Fluent in English. Other language skills desirable but not essential
