EEF – Events and membersConvention d’immersion professionnelleAbout us The European Energy Forum is a non-profit organisation that hosts around 25 discussions per year, bringing together experts, policymakers, and professionals from the energy sector to promote an exchange of ideas.We are a small, dynamic, passionate team that thrives on collaboration. We are looking for a new colleague eager to manage the logistics and organization of our strategic gatherings.Position overview:As a key member of our small team, you will be responsible for the logistical and administrative coordination of our discussions relating to energy, the operational follow-up of our activities (including content on energy) and you will provide support to membership administration.Your key responsibilities will include: Event management & organization - from A to ZPlan, organize, and execute dinner-debates and other events (relating to energy) as well as visits to energy sites:Plan and coordinate all aspects of assigned events: venue, catering, speakers, technical setup,...Draft the content of invitations and send them to targeted participantsManage registrations, participant lists, and event remindersLiaise with speakers and panelists for bios, slides, or logisticsCoordinate on-site logistics and provide assistance during the eventWrite clear and concise event summaries based on the discussionsWrite event-related social media content (before/after)Ensure smooth coordination with other team members handling parallel eventsOversee event logistics, effectively managing suppliers and service providers in a structured manner Membership Administration (no outreach responsibilities)· Maintain and update the membership database accurately· Track and process membership changes· Ensure the quality and consistency of membership records· Coordinate with the Office Manager for accurate invoicing and tracking· Prepare and follow up on membership fee invoices, based on internal rules· Handle member-related questions regarding registration, events, or invoicing· This post does not have responsibility for member recruitment or outreach Operational support· Provide daily support to a small team· Be flexible and open to new assigned tasksProfessional profile & competencies:· Event management and logistics: ability to rigorously handle all steps related to dinners and discussions gathering between 50 and 120 participants· Highly organised, autonomous, and detail-oriented· Strong written communication skills (especially for summaries and invitations)· Capable of following debates to capture the essence and draft short recaps· Able to work in alignment with the organisation’s policy voice (neutrality)· Excellent organizational and time management skills, with the ability to prioritize tasks effectively· Ability to work in a small team and manage multiple responsibilities simultaneously· Fluent in English (written/oral), with a working level of French· Comfortable using tools like MS Office, Canva, Brevo, CMS platforms· Skills in social media management, website managementWhat are we looking for:Degree in project management, event planning or a related fieldGenuine interest in energy topics and willingness to familiarize yourself with energy-related challenges and to learn and stay informed on the key issues discussed by membersIf you're a quick learner with the right attitude, we want to hear from youA team player who can collaborate smoothly with both admin and content-oriented colleaguesEligible to live and work in BrusselsPrior experience/knowledge in EU affairs or communication is an advantageWhat we offer:Contrat d’immersion professionnelle CIP (Candidates must be eligible for this type of contract)6 months contract with possibility to be extended.This position may require occasional travel to event locations How to applyPlease send your application before 30 August 2025Shortlisted candidates will be contacted starting 25th AugustOnly selected applicants will be contactedTo apply send the following :-Your CV-A few bullet points on :Your past event management experience (pls be short, max 2 lines each5 lines on how you will make the difference in a small team.To: Pascale Verheust at pascale.verheust@europeanenergyforum.euSubject line: “EEF Events and Members – (Your Name)”We may request references later in the process.By applying, you agree that your personal data will be used for recruitment purposes only.
