HR & Office Assistant
As our HR & Office Assistant you play a central role in keeping our organization running smoothly. You support HR administration, ensure a well-organized and welcoming office environment, and help foster a strong knowledge-sharing culture across QbD Group.
You are often the first point of contact for employees, candidates, and visitors, creating a warm and professional first impression. With your structured and proactive approach, you make sure both our office operations and knowledge initiatives run efficiently.
What you'll be doing
Office management & support
* Ensure a warm and professional welcome for colleagues, visitors, clients, and candidates, both at reception, by phone, and via email.
* Act as the central contact point and redirect incoming questions to the right colleagues.
* Manage the day-to-day operations of the office: ordering supplies, coordinating cleaning services, maintaining meeting rooms, and ensuring the office remains a pleasant place to work.
* Organize travel arrangements, hotel bookings, and logistical support for meetings, trainings, and events.
* Support the logistics of internal and external events and trainings.
* In collaboration with your colleague, you organize a rotating office presence between 8:00 and 17:30, ensuring the office remains a welcoming and accessible place throughout the day.
HR administration
* Maintain and update our employee information systems with great accuracy.
* Support HR processes such as onboarding and offboarding.
* Assist with the administrative follow-up of trainings and registrations, welcome and support external trainers visiting our offices, and help manage the administrative follow-up of training subsidies.
* Provide general administrative support when needed.
What you bring
* A Bachelor's degree in a relevant field (HR, Office Management, Business Administration, or similar).
* A first experience in office administration, HR support, or a similar role is a plus.
* Excellent organizational and administrative skills with strong attention to detail.
* Strong MS Office skills, especially Excel, Word, and PowerPoint.
* Comfortable working with databases and digital tools.
* Fluent in Dutch and English (both written and spoken). French is a plus.
* Ability to handle confidential information with discretion.
* A flexible mindset. Occasional evening support may be needed during events or trainings.
