🚀 We’re Hiring – Service Administration Assistant

📍 Lokeren, Belgium | 🏢 Hybrid: 3 days on-site / 2 days remote

📄 Permanent contract – Replacement


🔧 About the Role

As part of a replacement, we are looking for a Service Administration Coordinator to join an international technical organization supporting service operations in Belgium and the Netherlands.


You will play a key role in ensuring smooth service execution by coordinating between customers, field service engineers, and internal teams. This position is ideal for an experienced administrative professional who thrives in a technical, customer-facing environment.


🎯 Key Responsibilities

* Manage service contracts: creation, follow-up, and renewals
* Handle invoicing for service contracts and work orders
* Schedule and dispatch Field Service Engineers
* Create and follow up on service orders
* Order and track spare parts
* Ensure data accuracy and quality in SAP (ServiceMax is a plus)
* Act as a main point of contact for customers regarding service coordination
* Perform general service administration tasks


👥 Working Environment

* Service Administration team of 3 people
* Collaboration with 13 Field Service Engineers based in Belgium and the Netherlands
* Daily interaction with technical teams and customers
* Structured, fast-paced, service-oriented environment


🧠 Profile We’re Looking For

Experience

* Minimum 3 years of experience in service administration or customer service
* Experience in a technical, customer-facing environment
* SAP experience is mandatory (ServiceMax is a strong plus)
* Experience with the Dutch market is an advantage


Languages (mandatory)

* Dutch: fluent (main working language)
* English: fluent
* French: minimum B1 level

* High level of accuracy and attention to detail
* Ability to work independently and as part of a team
* Customer-oriented with strong communication skills
* Comfortable working closely with engineering teams


💼 What’s on Offer

* Permanent position in an international environment
* Gross annual salary: €60,000 – €62,000
* Attractive benefits package
* No bonus
* Hybrid working model (3 days office / 2 days home)
