The Louise building is home to a range of global companies, top of their fields and best in class. Their offices are an extension of their brand and the reception area provides a crucial first and last impression for all visitors. Overseeing the reception area, you will be responsible for ensuring we deliver a service which is warm and efficient, offering all building users and visitors the service they would expect from one of Brussels most prestigious addresses.
Key responsibilities
* Manage relationships within the building in line with service level agreement/as per your line managers instruction, making sure communications are approved and actions agreed on before communicated/committed.
* Attend building management meetings as required, capture required actions and provide follow up as required, shared minutes with wider team as required.
* Ensure daily briefing and shift handover briefing notes are captured and that meetings take place routinely.
* Prepare and circulate daily operations report to communicate events, VIP visitors, tenant events, move ins and anything of operational significance.
* Ensure all reception standards are met, take actions to correct.
* Prepare weekly rota via Personio for line manager approval.
* Plan and communicate breaks/ensure these are taken by the team and cover provided.
* Manage holiday and absence requests via Personio with community manager; agree cover plan before approving leave.
* Provide feedback for colleague reviews.
* Prepare for building move in's in consultation with landlord and BNP.
* Gather tenant requests prior to move in, take part in tenants meetings as required and ensure all requests are approved by the community manager before being actioned.
* Manage all tenant feedback in line with SLA – reporting and escalating to agreed standard.
* Support colleague on and off boarding. Access control, system access, unform issuing and liaise with Clockwise people team/building management and others as required.
* Support with Meeting Rooms and Events for the Auditoriums and Hotel Wielemans.
* Fluency in English is mandatory, with Dutch and/or French.
