Robert Half is partnering with a Belgian property company, investor, operator and developer of office spaces, which owns and manages a large portfolio of office buildings in Belgium and Luxembourg, to find an Executive Assistant (m/f/x) to support key executives and leaders within the organization. Your Role as Exucutive Assistant (m/f/x) : Reporting directly to the CEO and collaborating with the Chief Portfolio Officer (CPO) and Head of Asset Management (HoAM), the Executive Assistant (m/f/x) will play a vital administrative and logistical role across various operational teams within the company. Calendar Management : Organize schedules for the CEO, CPO, and HoAM, ensuring seamless meeting planning and logistics. Event Coordination : Plan internal/external meetings and events by identifying venues, negotiating contracts, and coordinating logistics for exceptional gatherings. Documentation Support : Prepare PowerPoint presentations, draft reports, and assist with formatting documents to create polished deliverables. Meeting Preparation : Collect agendas, preparatory documents, and support drafting minutes of meetings and follow-up reports. CRM Maintenance : Manage customer relationship systems (Portfolio & CEO CRM), ensuring accuracy and accessibility. Travel Bookings & Expense Reports : Act as the point of contact for corporate travel arrangements and process expense reports efficiently. Team Collaboration : Provide occasional support to the Portfolio and Hospitality teams, including handling client communications and receptionist duties when needed. Why Join this company? Your Skills and Qualifications for this Executive Assistant position (m/f/x) : Education : Bachelor's degree in secretarial work, assistantship, or equivalent experience. Experience : Minimum 5 years of proven success in a similar executive assistant role. Language Skills : Trilingual fluency in French, Dutch, and English. Technology Proficiency : Expertise in MS Office tools; InDesign knowledge and CRM tools like Dynamics are a plus. Organizational Talent : Exceptional multitasking skills with the ability to prioritize tasks effectively and maintain accuracy under time constraints. Key Traits: High attention to details. Strong communication skills to facilitate relationships internally and externally. Ability to work independently while fostering collaboration across teams.
