Description:
* Assist in the coordination of webinars, podcasts, and special events .
* Communicate with international experts and coordinate with various internal teams.
* Ensure sponsor contract deliverables are fulfilled (visibility, communication plans, etc.).
* Handle grant reimbursement processes related to events.
* Support the preparation of quarterly and project-specific reports in collaboration with senior managers.
* Schedule international meetings and take/transcribe minutes.
* Maintain accurate records in internal tools (SharePoint, Monday.com).
* Work with the finance team on invoicing, payments, and quarterly financial reconciliations.
* Collect annual Declarations of Interest (DOIs) from participating experts.
* Support the monthly update of the sponsorship prospectus with accurate organizational and demographic data.
Profil
* Fluency in English, both spoken and written, is essential.
* Well-organized with strong attention to detail.
* A true team player, able to work collaboratively across departments.
* Proficient in Microsoft Office (PowerPoint, Word, etc.).
* Familiarity with Microsoft Teams, OneDrive, Canva, and Monday.com is a plus.
* A fast learner, adaptable, and eager to grow.
* Professional and clear written communication, especially via email.
* Interest or experience in non-profit, global health, or pharmaceutical sectors is an advantage.
* Basic project management skills and ability to summarize meeting discussions (including scientific topics).
* Event organization experience is a plus.
* Willingness to travel internationally up to three times per year .
* You must hold a valid work permit for Belgium.
