We are looking for a proactive and detail-oriented Digital Communication & Administrative Assistant to support a dynamic team working across multiple health- and policy-related projects. This role combines digital communication, content management, administrative coordination, and stakeholder support within a fast-paced, international environment.
Key Responsibilities
Digital Communication & Content Management
Edit, format, and enhance presentations for online publication.
Prepare and distribute weekly newsletters on specialised health topics, including identifying and proposing new content based on recent reports, publications, and events.
Create, upload, and maintain content on various online collaboration platforms.
Monitor newly published materials relevant to project areas and ensure timely content updates.
Improve readability, layout, and user experience of digital content.
Proofread, edit, and perform quality checks on new materials.
Manage user access and monitor discussions on online platforms.
Stakeholder & Community Support
Provide guidance and technical support to platform users and project members.
Facilitate communication and collaboration across internal and external stakeholders.
Maintain and update contact lists, databases, and member information.
Manage functional mailboxes and ensure efficient follow-up.
Administrative & Event Coordination
Support the planning, preparation, and execution of meetings, workshops, and subgroup events (both virtual and in-person).
Prepare agendas, minutes, briefings, and documentation for meetings.
Upload and organise meeting materials in designated online tools.
Provide Secretariat-style administrative support to ensure smooth daily operations.
Assist with coordination tasks across various project streams, including health technology and public health activities.
Profile
Strong knowledge of digital tools, online platforms, and content management.
Experience in web content creation, editing, and formatting.
Excellent writing and communication skills in English; additional languages are an advantage.
Proficiency in Microsoft Office (Outlook, Teams, Word, Excel) and familiarity with Adobe Creative Suite (Illustrator, InDesign, Photoshop).
Highly organized, detail-oriented, and able to manage multiple priorities.
Strong customer service approach, with the ability to provide clear support to a variety of users.
Comfortable working both independently and collaboratively in a multicultural environment.
Adaptability and willingness to learn new digital tools and processes.
Proactive, solution-oriented mindset.
Desirable Qualifications
Background in communications, public relations, journalism, or related fields.
At least 3 years of experience in a similar communication/administrative role.
Interest in public health, food safety, or related policy areas.
