In this role, you will be responsible for supporting the full order-to-delivery process, ensuring smooth coordination between customers, internal departments, and logistics partners.
You will handle the daily follow-up of orders, shipments, and documentation, while also supporting invoicing and administrative accuracy.
The position requires strong communication skills, attention to detail, and the ability to work in a dynamic, international environment where efficiency and customer satisfaction are key Your tasks as a Sales Operations Coordinator Manage the end-to-end order-to-delivery process for assigned distributors, ensuring smooth coordination between customers, logistics, finance, and internal teams Handle daily communication with distributors regarding availability, orders, reservations, and delivery planning Prepare quotations within approved guidelines and process sales orders and confirmations Follow up on order changes, delays, and customer requests Support credit control follow-up in cooperation with Finance Coordinate and book shipments with logistics teams and external partners Prepare and manage export and shipping documentation Ensure accurate and timely invoicing (commercial and pro forma invoices) Follow up on shipment-related costs and administrative processing Maintain accurate data in ERP systems and ensure correct order tracking Support sales reporting, order intake reporting, and month-end closing activities Monitor outstanding orders and ensure timely resolution of issues Ensure compliance with export regulations and internal procedures Collaborate closely with Sales, Finance, Logistics, and Operations teams Contribute to continuous process improvement and efficiency initiatives The ideal profile of the Sales Operations Coordinator Bachelor's degree or equivalent experience At least a first experience in sales administration, order management, logistics coordination, or export-related roles Strong communication skills with the ability to interact professionally with customers, suppliers, and internal stakeholders Highly accurate and detail-oriented, especially when handling data, documentation, and deadlines Good organizational skills and the ability to manage multiple priorities in a fast-paced environment Problem-solving mindset with a proactive and service-oriented attitude Comfortable working with ERP systems and MS Office tools; experience with reporting tools is a plus Strong team player who can also work independently and take ownership of tasks Fluent in English and French; Dutch is an advantage The offer for the Sales Operations Coordinator Immediate permanent contract with our client Full-time position Attractive salary package complemented with net allowances, insurance coverage, meal vouchers, eco vouchers, bonuses, and a laptop Stable and international working environment within a technical industry Flexible working hours with the possibility to work from home up to 2 days per week 20 legal holidays ...
