The Non-Delegated/Broker Processor is responsible for managing and processing mortgage loan files that require investor approval prior to closing. This role serves as the primary liaison between borrowers, loan officers, underwriters, and third-party vendors to ensure all loan files are complete, accurate, and compliant before submission to the investor for underwriting. The Non-Delegated/Broker Processor plays a critical role in maintaining loan quality and ensuring a smooth origination process in accordance with HMA Mortgage's guidelines and investor requirements.
Key Responsibilities
Loan File Management
* Review and organize complete loan files submitted by loan officers, ensuring all required documentation is present and accurate.
* Order and track third-party services including title, appraisal, flood certification, credit reports, and verifications of employment and deposit when applicable.
* Prepare and submit loan packages to investors/Lenders for underwriting approval in a non-delegated and broker capacity.
* Monitor loan pipeline to ensure timely progression from submission to approval and closing.
* Maintain detailed and accurate loan notes and activity logs within the Loan Origination System (LOS) and investor portals.
Non-Delegated Submission & Investor Relations
* Prepare loan files in compliance with investor guidelines (e.g., Fannie Mae, Freddie Mac, FHA, VA, USDA) prior to submission.
* Submit complete loan packages to investors for credit approval and follow up on outstanding conditions or decisions to investors and/or lender.
* Coordinate with investors/lenders to resolve questions, discrepancies, or additional documentation requests.
* Track investor-imposed conditions and ensure timely response and satisfaction of all prior-to-approval (PTA) and prior-to-closing (PTC) conditions.
Compliance & Documentation
* Ensure all loans meet federal, state, and investor regulatory requirements including RESPA, TRID, ECOA, and HMDA.
* Review disclosures when applicable and ensure timely delivery in compliance with applicable regulatory timelines.
* Verify accuracy of all loan data entered into the LOS and catch discrepancies before investor submission.
* Maintain organized, audit-ready loan files in accordance with company policies and agency guidelines.
Borrower & Team Communication
* Communicate proactively with borrowers regarding outstanding documentation needs and loan status updates.
* Collaborate closely with loan officers, closers, and underwriters to maintain clear communication throughout the process.
* Provide exceptional customer service, ensuring a positive borrower experience from processing through closing.
Quality Control
* Conduct thorough file review prior to investor submission to minimize suspense conditions and turn-times.
* Flag potential risk issues or guideline concerns to the processing manager or underwriter.
* Participate in ongoing training to remain current on investor guideline updates and regulatory changes.
Qualifications
Required
* Minimum 2–3 years of mortgage processing experience, specifically in a non-delegated, broker, or correspondent lending environment.
* In-depth knowledge of conventional, FHA, VA, and/or USDA loan programs and investor guidelines.
* Strong understanding of federal mortgage regulations including TRID, RESPA, ECOA, and HMDA.
* Proficiency with Encompass.
* Experience navigating lender portals and working in a broker environment.
* Exceptional attention to detail, organizational skills, and ability to manage multiple files simultaneously.
* Strong written and verbal communication skills.
* Ability to work in a fast-paced environment and meet critical deadlines.
Preferred
* Experience with Fannie Mae Desktop Underwriter (DU) and Freddie Mac Loan Product Advisor (LPA).
* Familiarity with agency seller/servicer guides and AUS findings interpretation.
* Experience working with multiple investors and understanding of correspondent channel operations.
* Associate's or Bachelor's degree in Finance, Business, or a related field.
