Executive assistant (trilingual)

We are looking for a highly organized, proactive Executive Assistant to provide comprehensive administrative support to our executive team. This role is key in ensuring smooth coordination, communication, and operational efficiency across the organization.


Key responsibilities

* Efficiently manage and prioritize executive calendars, schedules, appointments, and travel arrangements.
* Draft, edit, and prepare professional documents including emails, memos, reports, and presentations.
* Screen and prioritize incoming communication to ensure timely responses and proper direction.
* Coordinate and organize meetings, conferences, and events, including all logistics and materials preparation.
* Take clear and accurate meeting minutes, distribute them, and follow up on action items.
* Maintain confidential files, records, and databases with high accuracy and discretion.
* Build positive relationships with internal staff, clients, partners, and key stakeholders.
* Act as liaison between executives and internal/external parties to ensure effective communication.
* Support special projects, research, and analysis assigned by the executives.
* Identify opportunities for process improvement and implement efficient administrative systems.


Qualifications and skills

* Bachelor’s degree in Business Administration, Management, or related field (preferred).
* Proven experience as an Executive Assistant or in a similar administrative role.
* Trilingual proficiency: Spanish, English, and Portuguese (required).
* Exceptional organizational, prioritization, and time‑management skills.
* Excellent written and verbal communication abilities.
* Strong proficiency with productivity tools (Microsoft Office / Teams / Outlook).
* Research and project management skills.
* High level of professionalism, confidentiality, and discretion when handling sensitive information.
* Strong attention to detail and ability to deliver high‑quality work within deadlines.
* Excellent interpersonal skills and ability to build relationships at all levels.
* Proactive mindset with strong problem‑solving abilities.
* Flexibility and adaptability to shifting priorities and work demands.
* Industry/sector knowledge is a plus.
