Job Description
Event Project Manager: client face and report management; contract and management of internal and external suppliers; project execution to ensure quality and client satisfaction; organized and committed to deadlines with team and client; development, control and management of budget spreadsheets in Excel and online tools; development of presentations in English, Portuguese and Spanish and reports in PowerPoint; 360° view and management of the project interacting and ensuring information flow along team and client.
Role
* Budget management – control of the spreadsheet/budget and constantly update it as needed
* Quotes and negotiations with vendors
* Cash and payment flow management
* Operation and master planner management; work with workstream leads for operations flow and deadlines; controlling schedules and participating in strategic decisions; tools: "Airtable" and "Planner".
* Responsible for building the whole operation along with workstream leads
* Think of the project as a whole and bring suggestions and improvements to the planning
* Lead negotiations with vendors, manage deadlines and schedules to be accomplished
* Plan, build and organize the information for site visit and event – operational perspective and necessities (PPT, Excel, Planner)
Job Requirements
* Experience in events management, planning and production – preferable corporate events
* Experience managing events in expos/pavilions
* Knowledge in Excel spreadsheet, PowerPoint presentation and Planner
* English and Spanish – advanced (must conduct meetings and build presentations in both languages)
* Process oriented – must be an organized person and committed to schedules and deadlines
* Knowledge in planning tools, such as Planner
* Responsible for the project as a 360° perspective – team leader
* Lead vendor interaction and negotiation
* Available for travel – must have a valid passport and USA visa
